Getting started
How do I create an account?
Download VaxFile from the App Store and tap "Sign up". Enter your email address and a password (minimum 8 characters, including a number and a special character). You'll receive a confirmation email — tap the link to verify your account, then log in.
How do I add a child?
Once logged in, tap the + button on the home screen. Enter your child's name, date of birth, sex, and country. You can also add a profile photo. Tap Save.
Which countries are supported?
VaxFile currently supports Germany (STIKO schedule) and the United Kingdom (NHS schedule). More countries are coming soon. To request a country, email us at support@vaxfile.app.
Vaccination records
How do I log a vaccination?
Open a child's profile, go to the Log tab, and tap the + button. Select the vaccine, enter the date and other details, and tap Save.
Can I log a vaccination from the Schedule tab?
Yes. Tap any overdue or due soon item in the Schedule tab to open the log form pre-filled with that vaccine and dose number.
How do I edit or delete a log entry?
Tap a log entry to open its detail view, then tap Edit in the top right. From the edit screen you can update the details or delete the entry entirely.
Why is a vaccine showing as overdue?
A vaccine shows as overdue when the recommended age has passed and no log entry exists for that vaccine and dose. Check the Schedule tab for details. If you have already received the vaccine, log it to mark it as done.
Schedule
Where does the vaccination schedule come from?
Schedules are based on official national guidelines — STIKO Impfkalender (RKI) for Germany and the NHS routine childhood immunisation schedule for the UK. VaxFile is a record-keeping tool only and does not provide medical advice. Always consult your doctor or healthcare provider.
How is the due date calculated?
Due dates are calculated from your child's date of birth using the recommended age in weeks from the official schedule.
What does "Due this year" mean for the flu vaccine?
The flu vaccine is annual. "Due this year" means no flu vaccine has been logged for the current calendar year and your child is old enough to receive it.
Notifications and reminders
How do I turn on reminders?
When you first open a child's Log tab with no entries, VaxFile will offer to turn on reminders. Tap "Turn on reminders" and allow notifications when prompted.
I turned off notifications. How do I turn them back on?
Go to iPhone Settings > VaxFile > Notifications and enable Allow Notifications. Then open VaxFile — the reminder prompt will reappear on any empty Log tab.
Can I add vaccination dates to my calendar?
Yes. On the Schedule tab, tap the calendar icon next to any upcoming or due soon vaccine to add it to your device calendar.
Account and data
How do I delete my account?
Email us at support@vaxfile.app with the subject "Account deletion request". Include the email address associated with your account. We will delete all your data within 30 days.
Where is my data stored?
Your data is stored securely on Supabase servers in Frankfurt, Germany. It is encrypted in transit and never shared with third parties. See our Privacy Policy.
I forgot my password. How do I reset it?
On the login screen, tap "Forgot password?" and enter your email address. You'll receive a reset link by email.
Troubleshooting
The app won't load or shows an error
Check your internet connection. VaxFile requires an active connection to load and sync data. If the problem persists, close and reopen the app.
I'm not receiving the confirmation email
Check your spam folder. If it's not there, wait a few minutes and try again. If you still haven't received it, email us at support@vaxfile.app.
A vaccine is missing from the schedule
The schedule only includes vaccines from the official STIKO (Germany) or NHS (UK) routine programmes. If you believe a vaccine is missing, email us at support@vaxfile.app.
